Are you someone who prefers to tackle emails late into the night? Or do you kickstart your day at the crack of dawn, firing off messages to your team? Perhaps you reserve Sunday nights for catching up on emails before the new week begins.
While these habits may work for you, they might not suit everyone on your team. Some may prefer not to deal with emails outside of regular business hours. Even if you assure them that a response can wait until morning, many still feel obliged to reply immediately.
Fortunately, Google offers a solution: scheduling emails in Gmail. This feature allows you to manage your to-do list without inconveniencing your coworkers during off-hours. Whether you’re using the web version or the iOS and Android mobile apps, the process remains fairly consistent.
Schedule an Email
Start by drafting your email with the necessary content. Once you’ve added recipients, you can schedule the message. Look for the drop-down menu next to the Send button at the bottom of the email window. Click on it and select “Schedule send”. Mobile users can find this option in the three-dot menu.
A pop-up box appears with several quick scheduling times if you want the email sent out tomorrow morning, tomorrow afternoon, or tomorrow night.
If the default options don’t suit your needs, select “Pick date & time” to specify a particular date on the calendar. You can set the exact time, and even schedule it for a different year if necessary. Once you’ve chosen a time and date, the email will be scheduled accordingly.
You’ll notice a new folder called “Scheduled” in Gmail, where you can view the number of pending scheduled emails (Google allows up to 100). Open this folder to see all your scheduled emails along with the dates indicating when they will be sent.
